This Privacy Policy explains what information FluxSoft Technologies, LLC (“FluxSoft”) collects, how we use it, and your rights. It applies to the fluxsoftlabs.com Site and the FluxChat product.
1. Information we collect
From site visitors
- Contact form submissions (email, message).
- Chat widget conversations with our bot (used to answer your questions and improve responses).
- Standard server logs (IP, user agent, timestamps).
From paying customers
- Account info: email, business name, contact phone, industry.
- Content you upload, paste, or allow us to crawl for training the bot.
- End-user conversation logs captured by your bot (stored via FluxVector).
- Billing details via Stripe (we do not see or store card numbers).
2. How we use information
- To provide the chatbot service you requested.
- To send transactional email (onboarding, invoices, alerts).
- To detect abuse, injection attempts, and safety events on the platform.
- To improve our product in aggregate (we do not train shared models on your private content).
We do not sell personal data. We do not run tracking advertising pixels on fluxsoftlabs.com.
3. Where we store data
Servers are hosted in Germany (Hetzner) in GDPR-compliant data centers. Backups are encrypted at rest. Transport is HTTPS-only.
4. Third parties we share with
- Stripe, Inc. — payment processing. Stripe receives your billing details directly; FluxSoft receives a customer and subscription ID.
- Anthropic, OpenAI, Ollama — optional LLM providers for tiers that use “Bring Your Own LLM”. Only activated if you opt in; your queries may be forwarded to your chosen provider.
- Email provider (SMTP) — for transactional email.
We do not share personal data for marketing purposes.
5. Your rights
Regardless of where you live, you may request:
- A copy of the personal data we hold about you (export).
- Correction of inaccurate data.
- Deletion of your data (subject to legal retention limits).
- Restriction or objection to processing under GDPR / UK GDPR.
- Data portability (CSV export).

6. Retention
- Conversation logs are retained for up to 90 days for safety and debugging, then deleted.
- Account data is retained until you delete the account or terminate service, plus 30 days, plus up to 90 days in rotated backups.
- Billing records are retained for 7 years for tax compliance.
7. Security
We encrypt data in transit (TLS 1.2+) and at rest (disk-level). Admin access requires scrypt-hashed passwords and session cookies signed with HMAC-SHA-256. Production access is limited to the founders. Security issues may be reported to [email protected].
8. Children
FluxChat is a business product and is not directed at children under 16. Do not submit information about minors to our forms.
9. Changes
We may update this Policy. The “Effective” date above shows the current version. Material changes are communicated to paying customers by email 30 days in advance.
